Position Summary
This is not just an administrative role—it is a strategic partnership. As the Executive Assistant to the Chief Information Officer (CIO), you will play a critical role in enabling the CIO’s effectiveness and driving organizational priorities forward. Acting as a trusted advisor and gatekeeper, you will ensure seamless communication and coordination across the C-suite, anticipate needs, and proactively manage complex schedules and deliverables. Your ability to navigate executive-level interactions with professionalism and discretion will directly contribute to the success of the technology leadership team and the broader organization. As the CIO primarily works out of the Toronto office, the ideal candidate will be required to be based in Toronto to provide a high level of onsite support and coordination with the executive and leadership teams.

Key Responsibilities

  • Serve as a strategic liaison for the CIO, ensuring clear and timely communication with C-suite leaders and senior stakeholders.
  • Manage the CIO’s dynamic calendar, prioritizing high-level meetings and engagements with precision.
  • Coordinate executive travel arrangements and prepare detailed expense reports.
  • Organize and execute leadership team meetings, including:
    • Weekly sessions with direct reports
    • Quarterly off-sites with extended leadership teams
    • Annual remote off-site (end-to-end planning: venue, accommodations, transportation, meals, and meeting logistics)
  • Support planning and delivery of department-wide events, including town halls and social gatherings.
  • Prepare high-quality reports, presentations, and correspondence tailored for executive audiences.
  • Oversee invoice processing and ensure timely approvals.
  • Maintain office operations, including supply management and equipment servicing.
  • Collaborate with other administrative professionals to provide coverage and share responsibilities as needed.

Qualifications

  • Minimum 6+ years of experience as an Executive Assistant, with a proven track record supporting C-suite executives in a fast-paced corporate environment.
  • Exceptional communication skills—both verbal and written—with the ability to craft clear, concise, and professional messaging for senior leadership.
  • Strong interpersonal skills and organizational savvy to navigate complex stakeholder relationships.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint) and collaboration tools such as Microsoft Teams.
  • Demonstrated digital and Gen AI fluency and ability to leverage technology for document management and team collaboration.
  • High level of discretion in handling confidential information.
  • Superior organizational, planning, and prioritization skills; adept at managing multiple priorities under tight deadlines.
  • Ability to work independently while fostering collaboration within a team environment.
