    The Executive Assistant is responsible for providing assistance to the senior leadership of the IGM Technology Division located in Toronto.  The Executive Assistant acts as first point of contact as the on-site support, providing general information to external parties and forwarding specific inquiries to the appropriate business unit.

     

    The responsibilities of the successful applicant will include:

    • Managing the daily calendar, travel and varying activities of the VP’s
    • Extensive scheduling of appointments and following up on requests, including decks and information for meetings
    • Organizing calendar and activities on a weekly and monthly timeframe
    • Liaising with all levels and departments of the company and representing the VP’s in a positive and professional manner at all times
    • Coordinating travel arrangements
    • Organizing team meetings, special events and team activities for the Leadership Team. For example, coordinating agendas, follow up items from team meetings, communicate plans and activities on behalf of executive
    • Preparing expense reports
    • Organize meeting materials and key documents based on specifications from the VP’s
    • Maintaining filing in online form and eliminate paper records where possible
    • Prepare and host various meetings/events – print materials, book & prepare room, order catering, set up/clean up etc.
    • Reviewing incoming communications, including emails, calls and post; where appropriate, summarizing, preparing responses and/or redirecting to the appropriate person/department
    • Maintain supply levels for executive group including ordering refreshments, supplies etc.
    • Maintaining all equipment and tools in good order and work directly with IS to resolve any issues
    • Other administrative duties as required including filing, photocopying, faxing and handling service issues
    • Providing backup to other administrators and helping other executives on the team as required

     

    The following qualifications will assist the successful candidate in accomplishing these functions:

    • 5+ years’ experience as an Executive Assistant
    • Maintains a positive atmosphere and fosters an open-door philosophy
    • Excellent communication skills, both verbal and written
    • Strong organizational skills
    • Ability to handle confidential information in a tactful and professional manner
    • High attention to detail and the ability to multi-task and prioritize
    • Good sense of urgency
    • Ability to work well independently and with minimal supervision and proactive
    • Maintain a courteous and professional manner at all times
    • Ability to exercise sound judgment
    • Tactful and able to manage various personality types
    • PC skills including the ability to use and troubleshoot standard business programs (including MS PowerPoint) & extensive Microsoft Outlook experience is a requirement
