    Mackenzie Investments is looking for Senior Administrative Assistant, for its Boston-based office location to support the Senior Vice President, Investment Management and Vice President, USA Institutional Sales & Service.

     

    As a valued member of the Boston-based team your core responsibilities will include:

     

    • Provide administrative support to Senior Vice President, Investment Management and Vice President, USA Institutional Sales & Service, including, calendar and meeting management, expense reporting, call answering, making travel arrangements and resolving technology issues,
    • Onboard/Offboard team members, including processing new hire forms, IT requirements and support, and working with various stakeholders to ensure smooth transition
    • Meeting set up and management including creating agendas, booking meetings, technology set up, conference calling and catering as needed
    • Assist with preparation of background materials for meeting and conference calls
    • Record and reconcile expenses for entire team in a timely and efficient manner
    • Coordinate travel arrangements for entire team in a timely and efficient manner
    • Record and track vacation and absences for entire team and provide vacation reporting when required
    • Ensure timely processing of invoices for the office
    • Maintain filing system and inventory of office supplies including refreshments for the team
    • Provide reception support (meet and greet visitors, answer/redirect calls etc)
    • Other administrative duties as required by Executives

     

     

    The following qualifications are required of the successful candidate:

    • 1-3 years of administrative experience, preferably within the financial service industry
    • Proficiency with MS Office including Outlook, Word, PowerPoint and Excel
    • Maintains a positive atmosphere and fosters an open-door philosophy
    • Excellent communication skills, both written and verbal
    • Ability to interact professionally with individuals at all levels of the organization
    • Ability to work well under pressure
    • Ability to work independently and in a team environment
    • Strong organizational skills with attention to detail, follow-through capabilities and the ability to meet deadlines
    • Proactive Team Player with a Can-Do attitude
