    Marketing is a shared services function within the IGM Financial group of companies, which includes Investors Group, Mackenzie Investments and Investment Planning Counsel.     The Office Administrator is responsible for providing administrative support to the senior leadership of the Marketing division located in Toronto.  The Office Administrator acts as first point of contact as the on-site support, providing general information to external parties and forwarding specific inquiries to the appropriate business unit.

     

    Responsibilities include:

    • Provide full administrative support to the leadership team, including but not limited to the following:
    • manage incoming communications via telephone, email and paper
    • prepare various department documents
    • schedule and coordinate department meetings, travel schedules and boardrooms/calendars
    • process department expenses
    • manage office supplies, equipment, software and system access
    • Provide confidential, executive support to the Vice-President’s; this includes managing significant travel and scheduling meetings both locally and nationally and processing expenses.
    • Compile and prepare monthly reports for Senior Management.
    • Create and assemble presentation materials.

     

    Qualifications:

    • Minimum 4 – 7 years administrative experience or a combination of experience and related education
    • Completion of a Post Secondary education program focusing on general business and /or office administration
    • Demonstrated proficiency in all PC applications including PowerPoint, Excel, Word, Email & Outlook/Calendar
    • Well developed communication skills (written and verbal) with individuals at all levels of the organization internally and externally with the ability to take the initiative and respond intuitively in an appropriate and timely manner.
    • Self starter with strong organizational skills; the ability to prioritize multiple tasks and meet tight deadlines.
    • The ability to communicate in both French and English would be considered an asset but is not essential.
