    The Retail Distribution Department at Mackenzie Investments is currently accepting applications for the position of Director, Events Planning.  Reporting to the Assistant Vice President, Planning and Sales Effectiveness, the Director, Events Planning will be responsible for building and managing plans that support the achievement of Retail Distribution’s strategic priorities and goals.  In addition, the Director will supervise the development of logistical event plans for Institutional Sales & Service and Corporate. 

     

    This includes annual event planning, budget development and management, event team development and management, identifying opportunities for improvement and efficiencies via post analysis and a sound understanding of industry trends.

     

    As a valued member of the Retail Distribution team your core responsibilities will include:

     

    Annual Event Planning

    • Supporting AVP in preparing event strategies and plans to support achievement of business objectives and priorities
    • Keeping abreast of industry trends and exploring new opportunities
    • Draws upon past events and ROI analysis to make recommendations
    • Identify efficiency opportunities based on past experiences e.g. contract negotiations, changes to approach, etc.

     

    Budget Development and Management

    • Manage annual budget for all Retail Distribution events
    • Manage events team budget
    • Lead, manage and ensure all event budgets meet compliance protocols
    • Supervise budget reconciliations and adherence to compliance guidelines – pre- and post
    • Ensure events are on or under budget

    Event Team Management

    • Owns and supervises event planning, including content and logistics for approximately 100 events per year
    • Establishes and reinforces event planning processes e.g. before, during and after event
    • Oversees the Events team which includes:
      • Managing direct reports’ performance review cycle e.g. annual goal setting for formal interim and year end reviews
      • Developing and mentoring team members
      • Allocating events to ensure adequate and effective coverage and balanced workloads
      • Manages group culture to ensure a cohesive and motivated team atmosphere
      • Rewards and recognizes desired behaviors and results
      • Provides coaching, mentoring and guidance to staff and encourage career development
    • Develops and regularly reviews team structure
    • Develops job descriptions and facilitates evaluation of the same and maintains and event planner pipeline

     

    Leads the effective management of Retail Distribution Events and Programs

    • Lead contact for all distribution events (preplanning, on site execution, post planning and follow, tracking and reporting)
    • Controls, manages and organizes budgets (tracking and managing to actual)
    • Negotiate with vendors on prices and contracts to maximize efficiencies
    • Ensures adherence to event planning process, pre, during and post
    • Ensures effective communication relating to all events
    • Provides regular status reports for all events including an events calendar
    • Leads the management of the CE credit application, approval and distribution process
    • Responsible for reporting back on event successes and opportunities for improvement
    • Responsible for all communications relating to events, conferences, special events (regional and national)
    • Keep abreast of changing environment and shares and applies learnings where appropriate
    • Take on assigned duties as required

     

    Supervises Event Planners responsible for building and executing event plans including: 

    • Sourcing venues and managing all aspects of events relating to F&B, hotel contracts, contract negotiations, space planning, registration, events and dinners, companion programs, post event follow up, etc
    • Conducting site inspections and selection of partners at venues
    • All processes related to getting an event set up and ready for implementation and exceptional execution
    • Effective internal and external flow of communication with respect to conferences and/or events
    • Liaise and work with event management vendors, partners
    • Lead contact person for internal and external participants of events
    • Accountable for successful execution of events

     

    Identifies improvement opportunities across key areas of responsibility including but not limited to:

    • Event planning process
    • Advisor registration process
    • PM Access
    • Team effectiveness
    • CE Credit process
    • Compliance process
    • Event management process
    • Financial process
    • Advisor events in general

     

    The following qualifications are required of the successful candidate:

    • Strong relationship management skills
    • Budget planning and costs management experience
    • Demonstrated success in change management initiatives
    • Innovative problem-solving abilities
    • Strong analytical skills
    • Strong presentation, facilitation, interpersonal and coaching skills
    • Effective management of projects and timelines
    • A minimum of 5 years’ experience in events planning in a Sales environment
    • Minimum 2 years’ experience in a management/leadership role
    • Post-secondary education (Honours Bachelor or Master’s degree)
    • Completion of Canadian Securities and/or IFIC preferred.
